How to automate quotations and invoices with AI

  2. Matches items against your product list, and asks a clarifying question if something is ambiguous.
  3. Prices the order using your rate sheet and rules: quantity slabs, customer category, GST, freight, validity period.
  4. Generates the document: a branded PDF in your existing format, with a quotation number.
  5. Gets approval if needed. The draft goes to the owner's WhatsApp with Approve and Edit buttons, or is sent directly for standard orders.
  6. Sends and follows up. The quote goes to the customer on WhatsApp or email, and a reminder goes out if they haven't replied in a few days.

Step by step: automating your quotations

1. Clean up the rate sheet

Put your products, variants, units and prices in one sheet, with quantity slabs and customer categories in separate columns. This one file becomes the agent's source of truth. If it's messy, fix it first.

2. Write down your pricing rules

For example: minimum order quantity, discount slabs, which customers get dealer pricing, freight by city, validity (say 7 days), and when a human must approve (for instance, orders above ₹2 lakh or custom items).

3. Standardise the template

Take your best-looking quotation and turn it into a template with fields for customer, items, taxes, totals and terms.

4. Connect the intake channel

5. Test on last month's real enquiries

Run 30–50 past enquiries through the agent and compare its quotations with the ones your team actually sent. Fix the rules wherever they differ.
